How to Manage Items in Bulk & Apply Changes Simultaneously

In this tutorial, we'll show you how Admin users can efficiently update multiple items at once using the bulk update functionality in the Item Management Portal. This feature is especially useful when you need to apply changes across a group of items without having to update them individually.

Step 1: Select Items

To begin, navigate to the Item Management Portal. In the Accepted or In Progress views, select the items you want to update. You can select multiple items by checking the boxes next to each item, similar to how you would in the Pending Import view.

Step 2: Choose Bulk Update Option

Once you've selected the items, look for the Bulk Action option. This will allow you to choose from several actions, such as exporting the selected items or performing a bulk update.

Step 3: Select Fields for Update

The bulk update feature enables you to modify several fields across the selected items. These fields include:

  • Author: Choose an existing SME or Admin to assign as the author.
  • Topic: Assign a specific topic (must be the lowest topic on the branch).
  • Cognitive Level: Select from available cognitive levels (Recall, Comprehend/Apply, Analyze/Evaluate, Invent).
  • Tag Value: Add or replace a tag and its value.
  • Notes: You can either add or replace notes. If adding, the new notes will appear on a new line.

Step 4: Confirm Your Updates

After selecting the fields to be updated, you will be prompted to confirm your changes. The system will show you a summary of the updates you’re about to make, including which fields will be updated across the selected items.

Click Continue to proceed, or Cancel if you need to make any changes.

Step 5: Update Processing

Once confirmed, the system will begin processing the bulk update. A processing indicator will appear, showing the progress of the update. During this time, you will not be able to close the update dialog until the process is complete.

Step 6: Notification of Success

Once the update is complete, the system will display a message notifying you that the selected items have been successfully updated. The screen will automatically refresh to reflect the changes.

Step 7: Review Item History

The history of the items that were updated will also be logged. This includes the name of the Admin who performed the bulk update and the specific changes made to each item.

By using the bulk update feature, Admins can save time and ensure that changes are applied consistently across multiple items in the portal.
