Step 8: Item Management

💡 Item Management is where every written item lives after submission and where the review workflow happens. Clicking "Item Management" from Item Writing moves you from the Authoring portal into the Exam Management portal: the left sidebar changes to Exam Management's options (Items, Translations, Exams, Exam Screens, Rescoring, Experts). Use the back arrow or sidebar to return to Authoring.

8.1 Confirm your context at the top: the Organization and Published Blueprint dropdowns control which item pool you're viewing. If you manage multiple orgs or blueprints, verify these before reading any numbers.

8.2 The dashboard opens on two tabs:

  • Blueprint Progress: pool-level charts showing Items by status, Topics distribution, and the headline numbers: Target Items, Extra Items, and Total Items.
  • Progress by Topic: the same picture broken down per topic, so you can spot which content areas are ahead or behind.
❓ What should I take away from this dashboard?

Three questions, answered at a glance: How many items exist against the target (Total vs. Target)? Where are they in the workflow (the Items chart and the status sidebar)? And is coverage balanced across topics (the Topics chart)? A healthy pool moves items steadily toward Accepted; a stalled pool shows a large For Review count that isn't shrinking, which means reviewers, not writers, are the bottleneck.

8.3 The status sidebar on the left groups every item by workflow status with live counts. Click any status to open its queue and work the items in it. For a full breakdown of what each status means, see [Step 8.1: Item Statuses Explained].

8.4 Clicking a status opens the item grid: each row shows the Item Name (built from your naming convention prefix, e.g., A2S00126), Item Type (e.g., MC4), Delivery Status, Lifecycle, and Item Quality. Use the Bulk Actions dropdown to act on multiple selected items at once.

8.5 To bring in externally authored items, click "Import Items" (upper-right) and select an import type: AI Item Import, Item Import with formatting, Item Import with images, Item Import without formatting, or Import Benchmark Statistics. The "Item Import Instructions and Sample Files" link at the bottom provides format templates.

8.6 The ⚙️ gear icon opens Exam Blueprint Settings without leaving Item Management: the same panel available in Authoring, with tabs for General, Advanced Settings, Item Tags, and AI. See the Blueprint Settings deep-dive for the full reference.
