How to Export Formatted Content With Image Files

Step-by-Step Instructions

  1. Go to the Item Management Portal
    Go to the Item Management portal through your organization's portal.

  2. Navigate to Items in Progress or Accepted
    Use the portal’s navigation panel to go to the Accepted/In Progress Items section. This ensures you are working with the appropriate set of data.

  3. Select the Items for Export
    Check the rows corresponding to the items you wish to export. You can select multiple items simultaneously for a bulk operation.

  4. Use Bulk Actions
    Click the Bulk Actions button, usually located in the top-left or toolbar.

  5. Choose Export Option
    From the dropdown menu, select Export. This will open additional export options.

  6. Select Export Format
    In the dialog box, choose Formatted Content With Image Files as the preferred export format. This ensures the exported data includes both text content and associated images.

  7. Download the File

  8. After confirming your selection, the system will process the request and generate a file containing the selected data. 
    • The file is typically available for download within seconds.
      • A CSV file with all the selected data, including the visible columns.
      • A folder with images associated with each item.
Ensure you extract the ZIP file to access both the CSV data and the corresponding images.

Data Exported

The exported file contains the following fields:

ItemName The name of the item.
CognitiveLevel The cognitive complexity associated with the item.
Lifecycle Current lifecycle stage of the item.
ItemQuality Quality assessment of the item.
ItemType The type or category of the item.
Status Current status (e.g., Accepted, In Progress).
Created Date when the item was created.
Edited Date of the last edit.
Author Name of the item’s author.
AuthorEmail Email address of the author.
AuthorId Unique identifier for the author.
Exam/Forms Associated exams or forms.
Reviewers Names of reviewers involved.
TopicDisplayId Display ID of the related topic.
Topics List of associated topics.
Reference Reference materials or citations.
ItemTags Tags associated with the item.
Enemies Items flagged as conflicting or incompatible.
Notes Additional notes about the item.
Stem The question or primary content of the item.
Exhibit Any exhibits linked to the item.
ResponseOptions Details of response options, including whether they are key answers, rationale, and identifiers for up to 8 responses.
Tips for a Successful Export
  • Filter Data First: If working with large datasets, use the filtering tools in the Item Management interface to narrow down the list before exporting.
