Job Task Analysis (JTA) FAQs

How do I set-up a new JTA?

You can set-up a new JTA directly in Certiverse by going to the Admin portal. Once in that portal, simply go to Job Task Analysis and select Add JTA. Enter in basic information, such as the JTA name, job or role name and description, admin email, assessment level, and task authoring due date. Then select Create to get started. 

How do I modify basic information for an existing JTA?

You can modify the basic information for an existing JTA directly in Certiverse by going to the Admin portal. Once in that portal, go to Job Task Analysis where you will see a list of your JTAs. Select the edit icon for the JTA you wish to modify. Basic information includes the JTA name, job or role name and description, admin email, assessment level, and task authoring due date.

Can existing JTA tasks and domains be imported into Certiverse?

Yes! If you have a task and domain list already, our import feature can upload your list directly into Certiverse. In the Admin portal, first create a new JTA. Then select the Import JTA Tasks/Domains icon. Use the CSV sample file as a template to create an import file. Please note that importing new tasks and domains will delete all existing information; therefore you must acknowledge this process prior to being able to select and then import your CSV file.

How many SMEs do I need for a JTA?

The JTA is broken down into several steps. For the first step, typically a few productive SMEs write JTA tasks. The actual number of SMEs needed is flexible; but usually the more productive the SMEs, the less you need. It is a best practice for a “super SME” (i.e., someone with both content and exam knowledge) to review those tasks and domain tags to ensure that they are well-organized as a whole. A larger number of SMEs often then completes the JTA survey. Again, the number is flexible, with some programs using a few dozen SMEs to others have a fairly large sample size. When recruiting SMEs, it is important to consider having sufficient representation so that multiple differing backgrounds from a job or role are representative in your SME selection.

How do I invite SMEs to create JTA tasks?

You can invite SMEs directly into the system to create JTA tasks and domains. You can invite them at your convenience by going to the JTA task list in the Authoring portal and using the Contributors icon. Note that the JTA task list must be unlocked, as our locking feature locks out JTA Contributors so that administrators can finalize the task list.

Does Certiverse provide a how-to guide for SMEs on JTA task entering?

Yes! Video training embedded into the system and an informational guide provide a review of the process and can be accessed anytime. Additionally the system was designed specifically around the user so that the features are SME-friendly and easy-to-use.

Can my JTA survey be customized?

Yes! Certiverse’s unique platform allows you to customize most aspects of your JTA survey. A survey template is automatically created, which can be used as-is or customized to fit your individual program. When the JTA tasks are locked, a Survey tab will appear that allows you to view and customize specific parts of your survey. Customization includes modifying the welcome screen, background and demographic questions, survey task ratings, feedback inquiry, and thank you screen.

How do I invite SMEs to take the JTA survey?

You can invite SMEs to take the JTA survey by going to the JTA survey in the Authoring portal and using the Survey Respondents icon. SMEs will then receive an email invitation with a direct link to the survey. 

Do SMEs need to log into Certiverse to take the JTA survey?

Not necessarily. You have the option for SMEs to either log in or not log in and take the survey anonymously. In the Authoring portal under the Survey tab for your JTA, select the Require Log-in toggle.

How can I view the JTA survey analysis?

The JTA survey analysis can be seen by locking the JTA survey in the Authoring portal under the Survey tab. Locking the survey will prevent responders from responding to the survey; a survey can be unlocked after it is locked. Once locked, result data is analyzed from a psychometric perspective to determine the criticality score of each identified task within the job role. An Analysis tab appears where you can view and refine the analysis criteria.
