Manage Locally Proctored Events with Certiverse

The test center functionality in Certiverse empowers organizations to manage the scheduling and operation of test centers for locally proctored events.

Follow these steps to create Test Center Groups, oversee Test Centers, create Sessions, and facilitate testing events! 

  1. Getting Started: Certiverse Client Services can help you setup a Test Center Group for your organization, which will empower you to create, manage and operate test centers and users for all of your events.
  2. Appoint Test Center Group Managers: Designate individuals to:
    1. Oversee Test Center Groups
    2. Maintain Test Center Group details
    3. Create Test Centers [See here for a step-by-step video tutoria].
    4. Manage Test Centers
    5. Manage Sessions
    6. Manage Proctors
    7. Assist candidates
    8. View reservations and unlock/release exams. [See Here for a step-by-step video tutorial].
    9. Test Center Group Managers can disable "Require Secure Browser" setting if not required for your event. 
  3. Appoint Proctors 
    1. Role & Responsibilities:
      1. Proctors can view reservations and unlock/release exams once they obtain the role of Test Center Proctor.
      2. Prepare the exam room with adequate lighting, power outlets, and noise reduction.
      3. Monitor candidates throughout their testing experience.
      4. Additional Roles & Responsibilities should be communicated to the Proctors specific to your Organization.
  1. Exam Store Configuration
    1. Set up a separate Exam in Certiverse's Store Portal with Test Center delivery type.
    2. Configure Booking dates and Delivery dates to align with your event and Organization.
    3. Be aware retake and eligibility are maintained separately for each store exam. If Results are sent to an end point, be sure to select the appropriate Authoring Exam for your new Exam Store entry.

Configuring Test Centers 

1. Add Test Centers 

    1. Name: A clear and identifiable name for the testing location. 
    2. Code: A unique identifier for internal reference. This code will also be used to generate the URL for the Test Center.  
    3. Description: Briefly explain the Test Center's location and amenities. 
    4. Time Zone: Select the correct time zone where the event will occur. 
    5. Default Seats: Set the standard number of seats available per Session.  
    6. Location Details: Provide address, city, state, and any other relevant information.

Creating Sessions 

1. SessionsDefine Sessions within your Test Centers, specifying:  
    1. Designated Exam: As previously mentioned, configure the exam(s) candidates will take from your Organization’s Exam Store. Set the exam delivery method to "Test Center" to ensure the exams are displayed to candidates for registration. 
    2. Available Dates & Times: Select date and start times for each session. 
    3. Number of Seats: Allocate the desired number of seats available for each Session. This value can be adjusted as needed. 

Technical Requirements

  1. System Requirements: Candidate Owned Devices & Use of Company-Issued Third-Party Devices:
    1. If candidates are expected to bring their own device, ensure clear communication prior to event day all testing devices meet the minimum system requirements outlined by Certiverse both in the linked documentation and as listed down below. If hiring a 3rd party vendor to supply devices for test please be sure your vendors accomplish the following prior to your event: 
        1. Windows OS - Windows 8 or newer (must have the latest updates)

        2. MacOS - Mojave or newer

        3. ChromeOS (Chromebook), iOS (iPhone, iPad), and Android (phones, tablets) are not supported at this time.

        4. Ensure devices have a compatible browser: Microsft Edge or Google Chrome.
        5. Pre-Install the Secure Exam Browser or for MacOS Secure Exam Browser
        6. Ensure the devices provided by the vendor has Admin access. See Systems Requirements for more details.
          1. Candidates using devices owned or borrowed should have access to the following:
            1. Working camera & microphone (microphone from headsets are not allowed)
            2. Screensharing ability
            3. Dual-core CPU
            4. At least 4 GB available of RAM memory.
            5. At least 1GB MB of available disk space.
            6. Minimum internet speed:
            7. Download - 10Mb/s
            8. Upload - 5Mb/s

Candidate Registration and Event Management 

  1. Test Center Landing Page: Share the unique URL for your Test Center Group with candidates so they can view available Sessions and make reservations. This should be communicated during your event registration period or advertised on site if walk-ups are welcome. 
  2. Candidate Registration: Share the Candidate Test Center Guide with your candidates. Be sure to review the Candidate Test Center Guide to align your communications with Certiverse's Test Center functionality and TC Candidate Guide. 
  3. Candidate Check-in: Upon their arrival, guide candidates through check-in procedures using relevant identification and reservation confirmation. It is also useful to communicate the following:
    1. Forms of Identification accepted at the event
    2. Payment types accepted (if applicable). If using Certiverse for Payment, candidates will have payment processed via Stripe.
    3. Proof of reservation: Candidate's Reservation ID can be found in their My Exams dashboard located on their Reservation card.
    4. Unlock Code Option:
      • To avoid candidate check in issues with recalling account passwords and using 3rd party vended devices Certiverse generates a unique code for each candidate who has a pending reservation.
      • After a candidate checks in, Event Managers overseeing check in procedures should guide candidates to visit http://certiverse.com/#/events or pre-load this link on the devices provided for the event. 
      • Once candidates check in, Event Managers can proceed to Unlock the candidate Session and provide candidate's with their Unique Unlock Code and they will be prompted to enter the Unlock Code and their Last Name used when reserving their Exam via Certiverse.
  1. Session Management: 
    1. Testing Environment: Prepare the testing environment to ensure a smooth exam experience. This includes setting up the testing stations with devices, verifying internet connectivity, verifying camera, microphone, and screen sharing capabilities are enable and ensuring a quiet and distraction-free testing space.
    2. Test Center Faculty: As a Test Center Group Manager & Proctor, utilize the platform to:  
      1. Monitor Reservations: Track confirmed and pending candidate registrations for each Session. 
      2. Unlock Exams: Once the Session begins, unlock access to the designated exam for registered candidates. See above for additional details under Unlock Code Option.

Additional Notes 

    • Candidate(s) Missed a Session
      • Candidates have up until the session time to register for an exam. If a candidate is late and never registered for the exam, you should create another session and add required number of seats to that session. The time of the session should be configured to a later time, two sessions cannot begin at the same time
    • View Past Session Details
      • To view past session times, number of total seats, number of reservations and duration of the session navigate the the Test Center Portal, locate the the Test Centers & Events tab on the left, next you'll locate the Sessions tab next to the General tab. Once in the Sessions tab, locate the Filter Icon in the Start Time and select All. [See here]
    • Limit Exams in Test Center & Events

      • Organizations using test center functionality can now limit which exams are available for specific events. Previously, all "Test Center" delivery type exams were bookable, and availability was only managed through store exam settings, causing issues with overlapping event dates. To address this, a new "Exams" tab has been added to test center management under location configuration. Test center managers can view this tab, while Test Center Group Managers can make changes, choosing between “All Exams” or “Limit Exams” for specific test centers. This update only affects new reservations, allowing control over which exams appear during the booking process. [See here for a step-by-step video tutorial].
