On-boarding, JTA, and Blueprint Set-up, & Sandbox Access Information for Organizations

Let's get started! Includes information on how to sign up with us, set up JTAs & Blueprints, and accessing our sandbox environment.

Here at Certiverse, we take the security of exams seriously. As a protective measure, we require a log in process to use the system, which involves first signing up with Certiverse. 

Getting Started:

When On-boarding with Certiverse, our Client Services Team will assist in the creation of your Organization within Certiverse. Once Created, you may receive an Organization Administrator Invitation which will prompt you to Accept the invitation and begin the Sign Up process. Another option allows you to take action prior to receiving this invite and create an account following the steps below. Keep in mind if you'll need to revisit your email Invitation to Accept your role as Organization Administrator if you create your account first.

Admin Sign Up/Log In:

1. There are four ways to sign up with Certiverse

  • Sign up with your GitHub account
  • Sign up with your Google account
  • Sign up with your LinkedIn account
  • Create your own Certiverse account 
    • You will be required to provide your email, first and last name, and a password.
    • Passwords must contain at least 8 characters in length, and 3 of the following: lowercase letters (a-z), uppercase letter (A-Z), number (0-9), and special characters (i.e. %$@#!).

2. Once you have created your account and successfully signed up you will need to log in to your email account, and you will prompted to verify your email.
  • A verification email will be sent to your email address. Select the “VERIFY NOW” link in the email.
  • That email link will take you to a Certiverse login screen, where you will input your email and password. 

3. Once you have successfully signed up and verified your email address, connect with your Certiverse Customer Success Manager so they can link your email address to administrator settings
  • The following Two-Factor Authentication steps are optional:
    • In advance or once you have created your Certiverse account, download a software-based authenticator to a secondary electronic device (usually your cell phone or tablet. 
    • After logging in, navigate to your profile's avatar in the top right corner of the screen.
    • Locate Account Settings under the avatar, and enable the two-factor authentication toggle.
    • Keep in mind, the next time you log-in two-factor authentication will be required, and will require that you setup your two-factor authentication using an authentication app on your phone. Frequently used options for authentication include Google Authenticator and Microsoft Authenticator.
    • After enabling the two-factor authentication toggle then logging in again, you will be greeted by a QR code will appearing on your screen, along with a field for a passcode. Open the software-based authenticator you downloaded to your secondary electronic device in Step 1 (e.g., your cell phone or tablet). Locate the authenticator's "+ add account" feature. Scan the QR code from Certiverse with your authenticator.

 

Organization

Once you have successfully created an account with Certiverse and accepted your role as Organization Administrator, you'll need to configure the following details in the Admin Portal>Org tab.
  1. Organization name (if it differs from the name initially created by Client Services)
  2. Internal Organization Name
  3. Organization description 
  4. Organization Landing Page Code (if using the Certiverse Store)
  5. User agreement presented in Certiverse to contributors
  6. Organization image or logo (jpg or png format - size 210px x 210px)
  7. Enablement of Leadership board for SME
NEXT STEPS - 

Job Task Analysis (JTA): 

For any job task analysis (JTA) projects, organizational admins can enter the following information directly into Certiverse using the Admin Portal (note that this information can be changed if needed): 
    1. JTA name 
    2. JTA job or role title (shown in instructions, emails, etc.) 
    3. JTA job or role description (shown in instructions, etc.) 
    4. # of domain tags required for each task: Default = 1
    5. Task authoring due date: Default = 1 week out
    6. Assessment level (shown for reference): Choose from the following
      • None (default)
      • Entry
      • Intermediate
      • Advanced
    7. Administrative email for JTA (shown in instructions, emails, etc.)

Blueprint

For any blueprint projects you would like set-up in Certiverse, you'll need the following (note that this information can be changed if needed): 

Blueprint Configurations (Manual or From JTA):

    1. Blueprint name (can be from JTA)
    2. Job or role title (can be from JTA; shown in instructions, etc.)
    3. Job or role description (can be from JTA; shown for reference, etc.)
    4. Assessment level (can be from JTA; shown for reference): Choose from the following
      • None (default)
      • Entry
      • Intermediate
      • Advanced

Item Naming

  • Define a prefix for the item IDs to uniquely identify items
    • A unique Item Name Prefix for items on this blueprint; usually several characters long and related to blueprint name; identifies items by blueprint. If items do not need to be specified by blueprint, put org acronym as prefix (best practice) that contains at least one letter. (Item Names default to unique numbers that are given to each item across all blueprints.)
      • Ex: CV0001

Item Quantity

  • Exam Duration in Minutes.
  • Target Forms: The current target number of discrete Forms. Default = 3
  • Scored Items Per Form: The number of scored items to be presented per form. Defaults = 35, 50, or 65
  • Margin for Bad Items: Triggers additional item writing assignments to allow for rejected items. Default = 0.3
  • *The Item Quantity Configurations will assist in generating Total Required Items for your Blueprint. Actual required items may vary based on topic weights and rounding. Rounding up usually adds several more items.

Item Writing Configurations:

  • Email digest frequency (email that summarizes item writing and review progress by SMEs): Choose from the following
    • Weekly (default)
    • Daily
    • Never
  • Item Type Configurations - Dichotomous Scoring
    • Single Correct Response - Two Options
    • Single Correct Response - Three Options
    • Single Correct Response - Four Options
    • Single Correct Response - Five Options
    • Single Correct Response - Six Options
    • Multiple Correct Response - Four Options (2 Correct & 2 Distractors)
    • Multiple Correct Response - Four Options (3 Correct & 1 Distractor)
    • Multiple Correct Response - Five Options (2 Correct & 3 Distractors)
    • Multiple Correct Response - Five Options (3 Correct & 2 Distractors)
    • Multiple Correct Response - Five Options (4 Correct & 1 Distractors)
    • Multiple Correct Response - Six Options (2 Correct & 4 Distractors)

  • Draft item age limit in hours (draft items rejected after this many hours)
  • Number of reviews per item written (number of reviews a SME can do per each item written)
  • Number of reviews required (number of reviews required to be passed for an item to be accepted): Default = 2
  • Review limit to reject (item is rejected after this many reviews)
  • Allow SME to Review Items Without Writing Items. Choose from the following:
    1. No (default)
    2. Yes
  • Allow SME to review items they previously reviewed (unless they previously passed). Choose from the following:
    1. No (default)
    2. Yes
Item Writing Rules & Configurations: 
  1. Allow Negatively Phrased Stems. Choose from the following:
    1. No (default)
    2. Yes
  2. Allow Response Options: "All Of the Above" and "None of the Above". Choose from the following:
    1. No (default)
    2. Yes
  3. Allow Item Writers to add an Exhibit. Choose from the following:
    1. No (default)

Translations:

    1. Source language: Choose from the following

  • Configure Tags: Tags allow test sponsor's to manage workflow of items, custom test sponsor statuses for data tracking, another example is managing the translation workflow as seen in this demo video,

  • AI Configuration
  • To enable AI Item Writing Assistance for SMEs to utilize, you'll need to perform the following steps:
    • Enable AI Item Writing toggle ON
    • Select ADD PROMPT (you can also edit the AI prompt if desired)
    • Select Item Types for which you wish this to be enabled
    • Click CREATE

Blueprint Custom Guide & Item Writing Custom Guide

  • Certiverse allows Organization's to add their own Custom Guide for Blueprint Editing/Creation and Item Writing. This is an open-text field with Rich Text Editor options to format the custom guide to your liking. Additionally, this can help save you, the Organization Admins time by communicating any specific details you'd like your SMEs and Blueprint Authors to follow. Some common uses for these guide are Item Writing Stylization guides, and Blueprint Topic Guidance. 

Access to Sandbox Environment 

  • Certiverse is happy to provide a Sandbox (QA) environment for Organizations to familiarize themselves with how existing integrations function within the platform. 
    • To request a Sandbox environment please contact, clientsupport@certiverse.com and provide the following:
      • Organization Name
      • Admins & Technical team members from your Org who require access.
